Job Descriptions :

Supervisor of Soft Services in Title

Overview: The Soft Services Supervisor is responsible for supervising and organizing the provision of different non-core facility management services, which are sometimes referred to as “soft services.” These services usually consist of trash management, landscaping, pest control, cleaning services, and other related tasks necessary to keep a facility’s interior tidy, secure, and operational. The Soft Services Supervisor makes sure that all services are provided effectively, that they fulfill quality requirements, that they follow health and safety guidelines, and that they enhance the general happiness of the facility’s inhabitants or users.

Accountabilities:

1. Team Management and Leadership: – Manage, inspire, and oversee a group of employees providing soft services, such as waste management workers, janitors, landscapers, and pest control specialists.
– Offer team members direction, instruction, and assistance to guarantee they carry out their responsibilities successfully and efficiently.
– Assign tasks to team members according to their skill levels, workloads, and priorities.
– Regularly assess employees’ performance, offer constructive criticism, and promptly resolve any problems or concerns.

2. Oversight of Service Delivery: – Keep an eye on the regular provision of soft services to make sure that it is carried out in compliance with set timetables, guidelines, and requirements.
– Keep an eye on the quality of the services provided and act quickly to correct any flaws or departures from the norm.
– Regularly check buildings to evaluate upkeep, hygienic conditions, and adherence to health and safety laws.
– Assist in coordinating with outside contractors or service providers to meet specific needs or enhance internal offerings.

3. Environmental, Health, and Safety Compliance:
– Verify adherence to environmental, health, and safety laws and guidelines that are pertinent to the provision of soft services.
– Create and put into place safe work practices and procedures to reduce the possibility of mishaps, injuries, or environmental issues.
– Perform incident investigations, risk assessments, and safety inspections as necessary.
– Encourage a culture of security protocol awareness and adherence between subcontractors and team members.

4. Client Relationship Management: – Act as the main point of contact for customers or building occupants with questions, requests, or concerns pertaining to soft services.
– Develop a good rapport with clients by staying in constant contact, being attentive, and taking the initiative to solve problems.
Work together with clients to comprehend their individual requirements, inclinations, and expectations with relation to the provision of soft services.
– Ask customers for comments on the quality of the services received, and then make any necessary corrections or adjustments.

5. Budgeting and Resource Management: – Support the creation of yearly plans for operations related to soft services, such as personnel, supplies, machinery, and outside services.
– Keep an eye on spending relative to budgetary allotments and look for ways to reduce costs or boost productivity.
– Keep track of cleaning supplies, equipment, and other consumable inventory levels to guarantee proper stock levels without surplus or waste.
– Assess and suggest investments in modern technology, equipment enhancements, or process modifications to boost the effectiveness and delivery of services.

6. Training and Development: – Determine the staff members that provide soft services with training needs and professional development opportunities.
– Arrange or conduct training sessions on subjects like equipment operation, cleaning methods, safety precautions, and customer service abilities.
– Promote team members’ ongoing education and skill development to boost output and prospects for professional progression.

Requirements: – A high school degree or its equivalent; preference given to candidates with extra training or certification in hospitality, facilities management, or related fields.
– Demonstrated experience managing or supervising others, ideally in the facilities management or a similar field.
– Excellent interpersonal, communication, and leadership abilities.
– An understanding of pertinent health and safety laws as well as cleaning methods, tools, and chemicals.
– Capability to operate under pressure in a fast-paced atmosphere, prioritize projects, and successfully manage time.
– Application proficiency on computers It is preferable to have software for facility management and Microsoft Office.
